Khata Billing turns any invoice, challan, order or return into a ready-to-stick courier label. Type the courier name and AWB number once, and the label prints the customer's shipping address and phone, the AWB barcode, the order barcode, weight, box size and the exact COD amount to collect. Print one label from the document, or tick many parcels on the Shipping Labels screen and print them all in one PDF. For the packing copy that goes inside the box, print a Delivery Slip with a line for the receiver's signature.

How It Works

Set it up once. After that, a label takes a few seconds per parcel.

1. Set up your label once

Go to Settings › Shipping Label. Pick the label size (4" x 6" is the courier standard), choose 1 to 4 copies per print and switch on the blocks you want. The Live Preview shows the label as you change it.

2. Open the document

Open a sales invoice, delivery challan, order or any other document and click Shipping Label. From a document list, use Print Shipping Label in the row menu.

3. Enter the courier details

Fill in the courier, AWB / Tracking Number, payment (COD or Prepaid), weight and box size. The collectable amount is pre-filled with the unpaid amount and the order number with the document number.

4. Save and print

Click Save & Print (or Save & Download). The label comes out as a PDF sized to your label stock.

5. Print many labels at once

Open Sales › Shipping Labels, filter by Not printed yet or No AWB yet, tick the parcels and click Print. Up to 50 labels come out in one PDF and each parcel is marked as printed.

Good to Know

What the feature does, what it does not do, and its limits — before you sign up.

  • Khata Billing does not book couriers, request pickups or create AWB numbers. You book with your courier and type the AWB in. The courier list (Delhivery, Blue Dart, DTDC and others) is only a suggestion — any name can be typed.
  • There is no live shipment tracking or delivery status update.
  • Shipping labels are made from the web app. The Android and iPhone app can print and download Delivery Slips.
  • Up to 4 item lines fit on a label. More items print as "+ N more items — see the invoice".
  • Bulk print takes up to 50 labels per PDF. For more, print in batches.
  • A document shows on the Shipping Labels screen only after courier details are saved for it.
  • The label is a PDF made to your label size. Print it from your printer's normal print dialog with the same paper size set — a 4x6 thermal roll, or plain paper for A5 and A4.
  • Barcodes are drawn online when the label is made. If that service cannot be reached, the label still prints, without the barcode.
  • Custom fields marked "Show on Invoice" print on the label. The others stay internal, for your packing staff only.
  • Delivery Slips are available for sales invoices, sales returns, purchases, purchase returns, delivery challans, sales orders and online orders — not for quotations, proforma invoices or purchase orders.
  • With staff logins, the Shipping Labels screen needs Sales › View permission and the label settings need Shipping Label › Edit.

Shipping Label Questions

What label sizes can I print?

Four sizes: 4" x 6" (100 x 150 mm), the courier standard in India and the default; 4" x 4" (100 x 100 mm); A5; and A4. You choose the size in Settings › Shipping Label, and the PDF page is made exactly that size.

Does Khata Billing book the courier or create the AWB number?

No. You book the parcel with your courier or aggregator as you do today and type the AWB number into Khata Billing. Khata Billing prints it on the label as a barcode. There is no courier booking, pickup request or live tracking.

How is the COD amount on the label worked out?

It is the unpaid amount of the document — the total minus payments already received. A fully paid document is marked Prepaid with ₹0 to collect. You can change the collectable amount before printing, and choosing Prepaid always prints ₹0.

Can I print many shipping labels together?

Yes. On the Shipping Labels screen, filter the parcels, tick the ones you want and click Print. Up to 50 labels print into one PDF, in the order shown on screen, and each parcel is marked as printed. You are warned before printing a parcel that already has a label.

Which documents can have a shipping label?

All ten document types: sales invoice, quotation, proforma invoice, sales order, delivery challan, sales return, purchase, purchase return, purchase order and online orders.

What is the difference between a shipping label and a delivery slip?

The shipping label is the sticker on the outside of the parcel, read by the courier. The delivery slip is a full-page packing copy that goes with the goods. It lists the items with HSN/SAC, rate, discount, tax and totals, and has a line for the receiver to sign that the goods arrived in good condition.

Are shipping labels included in the free plan?

Yes. Labels in all four sizes, courier details, bulk printing and label settings are included in Free. Premium raises Shipping Label custom fields from 3 (2 printed) to 6 (4 printed) and removes the light Khata Billing watermark from delivery slips.

Can I print shipping labels from the mobile app?

Shipping labels are made from the Khata Billing web app. The Android and iPhone app can print and download delivery slips.
